Starting a new Case Management System (CMS) implementation can be a daunting task, but proper preparation can make the process much smoother. There are five key tasks and knowledge areas you should brush up on as you begin your CMS implementation. These items will help you be prepared for a successful implementation.
- Take some time to understand your data. Understanding what sits in your current system can help you have productive conversations with your implementation team. They will guide you through the process, but knowing what is there allows the conversations to flow seamlessly from what you need for your future system into reality.
- Understand your integration points. Knowing what you are integrated with today and what you need to integrate with in the future will provide you with a great starting point for discussing how to best facilitate those integrations going forward. Make sure you are leveraging your internal experts to review the current integrations. Reach out to them to start that conversation and get a list of questions to answer to be prepared.
- Think about your current workflows and how you might want to improve them. Every court system has some processes or workflows that are less than ideal. Coming up with a list of what those are and how you find them less than ideal allows the implementation team to walk you through the steps of reviewing the process and providing updated steps for how to improve the workflow.
- Be prepared to be a change agent. With any new CMS implementation comes change. This is hard for any court to enact. Be ready to embrace change and talk with your court about how you will benefit from these changes in the future.
- Trust your implementation team. Implementation teams come with a wide breadth of knowledge about the courts and their processes. The implementation team knows and understands their CMS. They can help guide your team on what will maximize the features and functions of the system with the overall needs of your court system.
Keeping these five tips in mind as you kick off your CMS implementation will allow you to be prepared for a successful implementation.
